Instructions for event organizers

Welcome to organize an event at Keran Hallit! To ensure that everything goes smoothly, please read through the following instructions carefully.

1. NATURE OF THE EVENTS

Keran Hallit has two indoor event venue (Lähettämö and Konttori) and an outdoor venue (Keran Keidas). These venues can be used for both free and paid events. Private events, such as birthday parties, are also possible. Considering free events, larger events that have program for several hours are prioritized.

2. TIME AND DATE

Free events can be organized mainly on Fridays and Saturdays between 12 PM and 10 PM, but other time slots are also negotiable. Paid and/or private events can also be organized at other times and they can continue longer than 10 PM.

3. RENT

Events that are open and free to all and end by 10 PM are also free to organize. Kera-kollektiivi charges a rent from events that

  • have an entrance fee
  • are private
  • free, but continue after 10 PM.

The amount of rent depends on the event, and should you be interested in organizing such an event, please contact us via the event form for a request for proposals.

Kera-kollektiivi takes care of security during the event. Security costs are included in the rent.  

4. COVID-19 RESTRICTIONS

We follow the official restrictions concerning public events and begin the event season as soon as it is possible. Please note this when planning your event dates. The organizer of the event is responsible for planning the event in such a way that it is safe for its participants.

5. WEATHER

In case of bad weather, events planned for the outdoor space can also be moved indoors, if the indoor spaces are vacant at the moment.

6. EQUIPMENTS

Konttori has a limited amount of furniture (approximately 50 chairs and a couple of tables) and a refrigerator that can be used by the event organized.

7. SOUND AND LIGHTS

Kera-kollektiivi offers a sound system and a technician for all event organizers free of charge. In addition, we have microphones and mic stands available. In addition, Lähettämö has lighting equipment.

The organize brings own instruments and amplifiers and/or turntables and mixers. You can use our equipment with the help of our technician, but make sure that they do not break down or get lost. Event organizers are required to pay for any equipment that gets lost or broken.

If you want to cancel an event that requires a sound system, let us know two weeks prior the planned event date. For late cancellations, we collect a payment of 100 EUR to pay for the technician’s hiring costs.

8. FOOD AND DRINKS

Food and drinks are allowed at the event spaces.

9. CLEANING

Event organizer is responsible for cleaning during and after the event. Private event organizers are expected to clean the venue during (not after!) the rental period.

10. OTHER EVENTS

As Keran Hallit has three event spaces, multiple events can take place at the same time. Please take other event organizers’ needs and schedules into consideration.

11. MARKETING

Remember to market your event, as you know the best who is your target group and interested in your event. We recommend that you make and Facebook-event for your event. Event organizer has the main responsibility of all marketing, but Kera-kollektiivi will also help by marketing the public events on our website and social media.
